Quadrant Simplifies Workflows with IntelliChief 2.6.1

Quadrant Software last week unveiled a new release of its IntelliChief content management and workflow system, a Windows-based application that is commonly used to store documents from i/OS-based ERP systems and to route them among employees. With version 2.6.1, Quadrant added new features that should help to streamline workflows in certain situations. While it is generally good to be precise in back office functions, sometimes too much precision can be a bad thing. Quadrant is learning this with IntelliChief, and applying the lessons with the new version 2.6.1 release. Specifically, IntelliChief now gives users the capability to route documents to general groups, as opposed to a particular user within a group. This is important in circumstances where a worker may not know the proper person to forward a particular document to, but still has a general idea of where the document should go. Quadrant gives the following example. Say an IT invoice related to a hardware purchase needs to be routed to the appropriate person for approval. In this case, the MIS manager would be the right person, as opposed to the network manager. Both managers work in the IT department, but an accounts payable clerk may not understand the difference. By enabling general groups in IntelliChief, the accounts payable clerk can simply route the invoice to the “MIS department” group, and IntelliChief will automatically route it to the appropriate person (in this case, the MIS manager) for approval. Similarly, Quadrant has simplified the workflow inboxes in this release. In previous releases, the software included specific inboxes for specific functions. For accounts payable, a clerk might be faced with an array of inboxes with names such as “invoices pending approval,” “invoices pending purchase order,” “invoices ready for voucher,” and “expense invoices.” The problem is, sometimes the same invoice could fall under multiple categories, so where should the clerk go to look? With IntelliChief version 2.6.1, Quadrant now gives customers the option of using general-purpose inboxes with names such as “initial,” “pending,” “exception,” and “return.” Now, a manager looking for all pending documents to be processed can simply go to the “pending” inbox for an overview of all pending items, Quadrant says. This release brings several other enhancements, including the capability to force a document through the approval process before being distributed electronically via e-mail or fax. With previous releases, managers would sometimes find themselves having to manually e-mail documents one by one after approving them. This release allows the documents to be electronically distributed after being routed for approval. Quadrant also added a new routing administration screen that should make it easier for managers to route particular documents to users and groups of users, depending on the conditions. This feature will be particularly useful when documents require approval from multiple managers, or there are limits in the amount of money that a worker can request without requiring additional approvals.
